01 · Service scope
What is available now
Inkwire collects the message, sender details, and each recipient's U.S. mailing address in your private account so you can review the complete address, final message, and exact quote before payment. Card payments are collected through Stripe, and supported agents may pay through MPP.
Personalized campaigns may include up to 100 recipients. Every campaign must pass content, catalog, payment, and live-submission checks before it can enter physical fulfillment.
02 · Orders and fulfillment
Review before production
Before payment, you are shown the final message, recipient address, and price for approval. A payment receipt confirms payment, while your Inkwire account shows the order's production and mailing status. If we cannot accept or fulfill a paid order, we will cancel and provide a full refund to the original payment method.
You are responsible for reviewing the final message, names, and mailing address. We submit an approved order to a handwriting and mailing provider, currently Handwrite. Postal delivery dates are estimates, not guarantees. Delays, returned mail, and failures caused by an incomplete or incorrect customer-approved address may be outside our control.
If we provide a specific mail-by date, your approval accepts that date. If we cannot place the card with the postal service by then, we will contact you with a revised date and let you choose whether to accept the delay or cancel for a full refund. Postal delivery after mail entry is an estimate and is not guaranteed.
03 · Cancellations and refunds
Custom work has a clear cutoff
You may cancel an order for a full refund before you approve production. After you approve production, the personalized card ordinarily cannot be changed, canceled, or refunded.
If SendInkwire cannot fulfill an accepted order, makes a production error that materially differs from your approved details, or confirms a service-caused failure, we will offer an appropriate replacement or refund. Customer-approved spelling, content, and address errors are not eligible after production begins. These terms do not limit rights that cannot legally be waived.
Send requests to hello@sendinkwire.com from the email used for your Inkwire account and include the Stripe receipt reference. Approved refunds are returned through Stripe to the original payment method.
04 · Privacy
Recipient addresses are private data
We collect purchaser contact information, payment status, card content, sender details, recipient names and postal addresses, approvals, and fulfillment status. Our website and infrastructure providers may also process IP address, browser, device, request, and security-log information. Stripe processes payment details. We do not receive or store full card numbers.
We use this information to quote, review, produce, mail, support, secure, and reconcile orders. We share only what is needed with service providers that perform those functions, including Stripe for payments, Handwrite for card production and mail entry, USPS for postal delivery, Cloudflare and Railway for hosting and security, and providers that support service communications.
We do not sell personal information. Order records are protected with access controls and encryption where supported. Personal card content and address data are scheduled for deletion after 30 days unless longer retention is reasonably necessary for active fulfillment, support, fraud prevention, accounting, dispute handling, security, or legal obligations. Contact us to request access, correction, or deletion.
Google Analytics and the OpenAI Ads Measurement Pixel load only after you grant analytics consent. They measure page visits and funnel steps such as opening the letter creator, preparing checkout, and confirming a purchase. The OpenAI pixel may retain a privacy-preserving ad-attribution identifier in a first-party cookie. We do not send letter content, recipient names, or postal addresses to either provider. You can at any time.
SendInkwire does not sell personal information or share personal information for cross-context behavioral advertising. Because there is no uniform browser standard for legacy Do Not Track signals, the site does not respond differently to those signals. If tracking practices change, this policy will be updated before that use begins.
Do not send highly sensitive information in card content. Email and postal mail are not appropriate channels for secrets, payment credentials, medical records, government identifiers, or authentication codes.
05 · Acceptable use
Use addresses and messages responsibly
You must have the right to provide each recipient's information and send the requested message. You may not use SendInkwire for unlawful, deceptive, fraudulent, threatening, harassing, discriminatory, infringing, or dangerous content; impersonation; credential or payment theft; or unsolicited bulk marketing that violates applicable law.
We may reject, pause, or cancel an order that creates safety, consent, fraud, legal, supplier, or deliverability concerns. If we reject a paid order before production, we will refund it unless we reasonably believe the payment itself is fraudulent or legally restricted.
06 · Agent API
Preflight protects the payment boundary
Quotes, campaign creation, and preflight are unpaid. Payment and physical fulfillment are real only for campaigns admitted by SendInkwire's live-submission controls that pass the final preflight check.
Agents must show the complete normalized recipient address, final message, and exact public price for approval. They must call preflight immediately before payment and stop when it reports ready=false. A payment challenge must not be satisfied without explicit approval.
07 · Other terms
A review-led service
SendInkwire may update these policies as the service changes. Material changes apply prospectively and will be posted here with a new effective date. Orders already accepted remain subject to the version confirmed for that order unless applicable law requires otherwise.
To the extent permitted by law, Rondo Coaching LLC is not responsible for indirect or consequential losses, postal delays, or errors in customer-approved content or addresses. Nothing here excludes liability or consumer rights that cannot legally be excluded.
